Senior Executive/Finance Assistant

About The Opportunity 

  • Provide proactive administrative support including liaising with internal and external contacts, to ensure all needs of the President are met 
  • Maintain and monitor the President’s calendar by coordinating appointments, conferences and meetings and facilitate prioritized response to matters requiring immediate attention 
  • Receive, screen, and direct all inbound telephone calls, e-mails and visitors as required and respond to and resolve moderately complex inquiries as applicable 
  • Review all documents, reports, and correspondence prepared for executive signatures for format, content, grammar, spelling and make edits as necessary 
  • Create and maintain executive filing system, including process improvements and digitization 
  • Prepare and review excel spreadsheets to ensure accuracies of financial figures for real estate and mortgage closings, along with regular project updates, profitability projections, expenses, etc. 
  • Communicate regularly with key stakeholders in the industry such as accountants, lawyers, appraisers, lenders, borrowers, etc., with sensitivity to deadlines and unique requirements of the business unit 
  • Create, edit and review high-level spreadsheets, contracts, communications and e-mail correspondences with professionalism and detail 
  • Coordinate and obtain approval on invoices for payment from the accounting department in adherence with organizational policies and procedures 
  • Act as a backup to reception, should there be a need for additional coverage 
  • Identify and respond to requests confidently and be a professional representative of the team 

About You 

  • Minimum five years of relevant experience in similar role 
  • Experience in real estate and investment sectors is preferred 
  • Finance experience 
  • Working knowledge of cash flows, accounting 
  • College diploma or University degree in relevant discipline 
  • High degree of proficiency with Microsoft Office Suite (Excel, Word, Outlook etc.) 
  • Excellent written and verbal communication skills 
  • Demonstrates in-depth analytical and problem-solving skills 
  • Exceptional accuracy and attention to detail 
  • Ability to take initiative, prioritize tasks, function independently and work part of a team 

Pay Rate 

$80,000 - $90,000/year
