About the Opportunity

  • Provide administrative support through the contract review stage of the project
  • Develop and sustain productive relationships with customers and dealer network
  • Collaborate with internal staff including Sales, Engineering, Sales Operations
  • Responsible for maintaining project platform throughout execution stages of project
  • Understand and maintain schedule of values against customer orders and change orders throughout the project
  • Issue approval drawings to installing dealer and ensuring signed copy are on file prior to equipment orders being released to production
  • Report and manage deviations, change orders, adjust schedule of values and communicate changes to necessary parties throughout the progress of the project
  • Manage administrative correspondence with key suppliers and installers
  • Create and issue purchase orders to suppliers
  • Create and issue purchase orders and documentation to installing dealers include scope of work, installation manuals, approval drawings and completion notice
  • Work with Health and Safety to manage and maintain standard forms, Subcontractor Agreements, COI documents and workers compensation safety documents, lien waivers etc. Ensure any special Covid-19 related measures are met and communicated to trades
  • Receive PO’s for payment to be issued for product, installation and relationship credits
  • Track and manage open PO’s using the Open Purchase order report
  • Liaise with Production and Logistics to ensure completeness of order and ships as scheduled
  • Create and track progress-billing invoices, (both manual and system generated) reconcile to PO and project progression.  Participate in weekly team meetings to keep team up to date
  • Track and manage customer orders Close out project based on approvals for installation
  • Communicate with customer to ensure satisfaction, provide manuals invoices
  • Assist AP with reconciliation
  • Abide by all relevant procedures and daily activities, viewing all to identify continuous improvement opportunities
  • Work with the team on new business development strategies and marketing efforts for continued growth opportunities

About You

  • Excellent problem solving skills
  • High degree of resourcefulness, flexibility and adaptability
  • Excellent verbal, written and interpersonal communication skills
  • Attention to detail, organization, knowledge of computers, and able to multitask
  • Knowledge of customer service principles and practices
  • Experience in Construction industry would be an asset
  • Work effectively with a diverse team to solve customer issues quickly
  • Ability to learn quickly in a fast paced environment

Pay Rate

$55,000 - $65,000/salary
