About the Opportunity

The Media Billing Coordinator represents a critical function in servicing fast paced client business at a creative media agency. He/she/they sit at the intersection of three teams: media planning, investment and finance and serve the backbone of client billing and budget pacing

Report directly into the Budget Project Manager on the finance team who will provide oversight on the responsibilities below

  • Financial Operations and Budget Pacing
  • Review scope of work (SOW) documents, execute and monitor billing processes to ensure compliance of financial terms payable terms, fee structure, billing terms
  • Setup, manage, and maintain Master Media Tracker as part of billing review and execution process
  • Master Media Tracker to include tracking of actual spend against Media Plans
  • Establish a monthly billing cadence with the media team
  • Update, analyze and validate Master Media Tracker on a monthly basis, and distribute it to media team leads (channel leads/account leads) for review and approval.
  • Assist in finding resolution of billing discrepancies
  • Obtain approval from relevant lead and subsequently issue billings to client
  • Liaise with Media AP and Finance Coordinator teams on key client deliverables and timely reconciliation of invoicing
  • Management of applicable client accounts receivable and collections
  • Assist with maintaining (central) filing system for client files
  • Assist with other full-cycle accounting functions as required of every member of a growing finance team in a start-up environment.
  • Assist in SOX audits and client annual audits, as well on ad-hoc Finance projects and assignments which are within the scope of the role
  • Complete, accurate and timely submission of Monthly Billing Packet: inclusive of all billing and invoicing,
  • Expert on all media subject matter for the clients assigned
  • Establish and nurture strong relationships with client team (Media planning, investment, project management, etc.), serving as the primary contact for all client media billing deliverables and troubleshooting as needed

About You

  • University Degree in accounting or finance
  • Previous internship experience in media, advertising, or accounting
  • 1+ year of advertising/professional service experience preferred
  • Strong analytical and Excel skills
  • Obsessed with attention to detail
  • A team player, quick learner, and strong problem solver
  • Independently manage competing projects and deadlines, is proactive, detail oriented, and must possess outstanding follow-through skills while remaining accountable for work produced
  • Customer service-oriented attitude with the ability to work closely with internal and external project teams
  • Excellent written and verbal communication skills
  • Experience in a fast paced, client service environment; a high sense of urgency, a positive attitude
  • Experience with major advertising/media industry systems MediaOcean (Donovan Data System), Maconomy, etc. a plus
  • Expresses curiosity and asks questions
  • Knows when to ask for help
