About the Opportunity
The Jr. Fleet Services Administrator will assist in managing the day-to-day reporting activities for both our internal services, facilities, and our third-party vendor network
- Maintain all Fleet Maintenance records
- Coordinate vehicle maintenance service and booking of maintenance service appointments
- Generates purchase orders for all service and parts requirements
- Responsible for keeping track of all leases/rentals and end dates for vehicles
- Responsible for keeping track of fleet mileage and recording of fuel purchases
- Responsible for the tracking of Special Transportation / Road Permits
- Damage and accident tracking
- GPS equipment tracking, generating reports and inputting equipment.
- Complete administrative functions including filing, shop work orders and all third-party billing
- Organize and produce supporting materials for internal and external meetings as required
- Provide effective and accurate verbal and written communications between internal departments, corporate officials, service providers, and third-party vendors
- Manage and appropriately prioritize all email and mail correspondence, requests for information, and other requests in a timely manner
- Data collection, analysis, data entry, and reporting
- Fleet licensing
- Other duties as assigned
- Work in compliance with all health and safety and environmental legislation including, but not limited to, the Occupational Health and Safety Act and Regulations and the company's Policies and Procedures
About You
- Post-secondary education related to office or business administration
- Minimum of 3 years’ experience a similar administrative position
- Experience in business writing, drafting correspondence, minute taking, writing reports etc
- Strong organization and administrative skill, including the ability to work independently with minimal direction
- Strong analytical and problem-solving skills
- Extensive computer skills using MS Office, the ability to actively reference the internet and Asset Maintenance Management systems i.e. Great Plains
- Excellent communication skills with the ability to liaise with all levels of the organization
- Intermediate MS Excel skills
- Ability to adapt to changing priorities in a calm professional manner
- Strong orientation to detail
- Sound understanding of maintenance/operations procedures
Salary
$42,000 - $51,000/year
