About the Opportunity  

Position Summary 
The Administrative Assistant will be responsible for providing comprehensive administrative support to ensure the smooth operation of our retirement residence. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The ideal candidate will have a compassionate demeanor, as they will often be the first point of contact for residents and visitors.

Front Desk Operations 
  • Greet residents, visitors, and staff in a warm and professional manner
  • Manage incoming calls, emails, and inquiries, directing them to the appropriate staff members
  • Maintain a tidy and welcoming reception area
Administrative Support 
  • Assist with scheduling appointments, meetings, and events for residents and staff

  • Manage resident files, ensuring accuracy and confidentiality

  • Prepare correspondence, reports, and documents as needed

  • Assist with billing and invoicing processes

Resident Services 

  • Act as a liaison between residents, their families, and the management team

  • Assist residents with inquiries, requests, and concerns in a timely and empathetic manner

  • Coordinate transportation and other services for residents as needed

Community Engagement 

  • Assist with planning and organizing community events and activities

  • Maintain resident directories and communication lists

  • Support marketing and outreach efforts to attract new residents

General Office Duties 

  • Manage office supplies and inventory

  • Assist with mail distribution and shipping/receiving tasks

  • Collaborate with other staff members to ensure smooth operation of daily activities
     

About You 

  • High school diploma or equivalent; associate or bachelor's degree preferred

  • Proven experience in administrative roles, preferably in a healthcare or senior living setting

  • Excellent communication and interpersonal skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

  • Strong organizational skills and attention to detail

  • Ability to multitask and prioritize tasks effectively

  • Compassionate demeanor and a genuine desire to assist seniors
     

Working Conditions 

  • This position primarily operates in a professional office environment within the retirement residence

  • May require occasional evening or weekend availability for special events or emergencies

Salary

$55 00 - $60 000/year
