About the Opportunity 

The Payroll Specialist will be responsible for ensuring timely and accurate payment to all employees. This includes responsibility for withholding, remitting and reporting legislated deductions, and preparing all payroll related payments. In addition, process employee benefits enrolments from the HRIS ensuring accurate benefits/payroll entries along with monthly benefit premium reports with payments to benefit carriers. This role is also responsible for the preparation of headcount reports and other reports as may be required. 

  • Process and audit of Semi-monthly Payroll 
  • Validate payroll changes as submitted from employees, managers or HR Managers and process payroll on a semi-monthly basis 
  •  Review and approve various online changes in accordance with policies and procedures 
  •  Input and audit all entries in payroll system ensuring the accuracy of employee data, benefit enrollment, earning and deduction codes 
  •  Review time entries (e.g., Overtime, Unpaid time, Unpaid Illness hourly pay, retro pay, statutory holiday pay for hourly employees, severance pay, variable compensation payments) ensuring accuracy and reasonability as per policy and procedures and guidance provided through documentation. Audit all time entries using timesheet module along with manager approval verification 
  •  Follow-up directly with managers/leaders and employees with any questions or issues that are identified with any payroll matters 
  •  Process any benefits continuance requests for terminated members 
  •  Ensure checks and balances are in place to ensure data accuracy 
  •  Administer benefit provider RRSP plans, including new enrollment / changes / termination and bi-weekly remittance 
  •  Post adjusting entries for benefit cheques received (from employees on a L.O.A.) and any other manual cheque adjustments issued by the client, affecting YTD totals 
  •  Support other Payroll team member by cross training and coaching to meet payroll timelines 
  •  Reconcile Payments for all Legislated Deductions, Benefits Premiums and Voluntary Employee Benefit Plans and Donations 
  •  Reconcile and prepare payments for benefit plans, legislated remittance (worker compensation premiums), donations and garnishments 
  •  Calculate and capture specific required reports for Quebec employees 
  •  Respond to enquiries from various government agencies 
  •  Interpret and Communicate Legislated Requirements and Updates to Employee Data 
  •  Ensure existing operations are in compliance with all payroll related legislative laws, rules and regulations. 
  •  Answer legislative bodies and employees’ inquiries re payroll issues 
  •  Communicate to employees for any payroll issues affecting them (e.g. annual CPP, E.I. rates and maximum amounts) 
  •  Benefits Administration 
  • Review employee benefit enrolments ensuring accuracy and proper processing through the benefits module. Perform a monthly audit of benefits to ensure that benefit coverages and costs are accurately reflected 
  • Prepare and reconcile monthly benefit billing to ensure premiums are accurately paid to benefit provider 

About You 

  • College Diploma 
  • Certifications/Designations Required 
  • Certified Payroll Professional preferred 
  • 3-8 years payroll experience in a similar role preferably with UKG 
  • Accounting experience an asset 
  • English 
  • Advanced Microsoft Word and Excel skills 
  • Advanced knowledge of payroll software 
  •  Exceptional oral and written communication skills 
  •  Excellent organizational and time-management skills 
  •  Ability to multi-task in a fast paced environment 
  •  Strong analytical and problem solving skills 
  •  Proven ability to foster relationships 
  •  Strong customer service skills 
  •  Self-driven, motivated with the ability to work independently and in a team environment 
  •  Carries out duties with integrity and takes responsibility for actions 

Hourly Rate 
$30 - $39/hour
