The Payroll and Benefits Specialist will report to the Human Resources Manager and be an active member of the Human Resources department by providing specialized support to all members of the organization. Under the general direction of the Human Resources Manager, the Payroll & Benefits Specialist will be responsible for preparing and administering payroll for all employees on a bi-weekly basis. Integrity and strong attention to detail is crucial for this role

About the Opportunity

  • Ensure accurate / timely bi-weekly payroll processing, maintain operational standards and adhere to department policies and procedures
  • Ensure adherence to internal controls. Ensure payroll transactions are properly authorized. Review audit reports to validate systems controls prior to payroll transmission
  • Process hiring, compensation changes, separations, transfers, personnel changes, leaves of absence, etc
  • Reconcile, administer and remit 3rd party payments including benefits, WSIB, and garnishments ensuring legislated filings and reporting is completed within established timelines
  • Prepare month end journal entries and remittances
  • Create and distribute payroll reports as requested time and attendance, vacation etc
  • Process various regulatory reporting including ROEs with accuracy
  • Reconcile all Payroll Liability G/L accounts/Labour Cost Distribution biweekly/monthly and make required adjustments
  • Reconcile payroll year-end (T4, T4A’s, etc.) on a quarterly cycle
  • Prepare and submit all Annual returns in a timely manner. T4, T4A’s, EHT, WCB
  • Manage the company’s benefits program reconciliations, administration of new and departing staff.
  • Ensure compliance with federal, provincial and local legal requirements by studying existing and new legislation, anticipating legislation, enforcing adherence to requirements and advising management on needed actions
  • Communicate changes to benefits and payroll programs to managers and employees as needed
  • Act as a fist point of contact for payroll and benefit related inquiries
  • Assist with special projects as required (ADP implementation), maintaining pay equity program/reviews Assist with annual budgeting and planning files and yearly reconciliation
  • Assist with HR administration as required

About You

  • A minimum of 2-3 years of relevant experience in a similar position
  • Payroll Compliance Practitioner (PCP) certification is required
  • Strong knowledge of ADP Workforce now software is required
  • Must have experience with payroll reconciliation, strong knowledge of accounting practices and journal entries
  • Strong attention to detail and accuracy; strong analytical skills with ability to independently resolve complex payroll issues
  • Comprehensive and demonstrated knowledge of payroll-related, multi-provincial legislative requirements
  • Experience processing payroll for hourly and salary employees and managing time and attendance required
  • Strong written and verbal communication skills, with the ability to convey information in understandable terms at all levels of the organization
  • Excellent Microsoft Excel skills VLOOKUP, Pivot tables as well as experience with Microsoft Office Suite of tools Word, Power Point, Outlook
  • Able to travel from Pickering to Markham as need
  • Tact and diplomacy in dealing with sensitive and confidential situation

Salary

$65,000 - $70,000/year
