About the Opportunity

The Media Finance Coordinator represents a critical function in servicing fast paced client business at a creative media agency. He/she/they sit at the intersection of media planning, finance and investment and is the operational backbone of the team.

You sit at the intersection of three teams: media planning, investment and finance and serve the backbone of financial operations and budget pacing. You will report directly into the Senior Associate on the media planning team who will provide oversight on the responsibilities below

  • Financial Operations and Budget Pacing:
  • Management of all media dollars in market and continuous review of investments, pacing and budget tracking
  • Management of budget tracking, billing, and reporting
  • Assist in finding resolution of billing discrepancies
  • Liaise with investment teams on key client deliverables and timely reconciliation of invoicing
  • Work with digital team to issue RFI’s to respective partners
  • Assist with Prisma and DCM Campaign Manager
  • Project Management
  • Assist in the preparation of weekly status calls, project timelines, and agenda with clients
  • Capture meeting notes/next steps based on key deliverables
  • Support digital/planning teams by taking on any low/er complexity projects
  • Launch screenshots delivery
  • Monthly Billing Packet: inclusive of all billing and invoicing, including billing reports outlining all invoiced dollars during the billing cycle
  • Monthly Budget Cancellation Document outlining rolling cancellation options/firm commitment amounts by month for all planned media spend
  • Bi-Monthly Lumina Projections (internal forecasting tool)
  • Weekly Budget Tracker Document delineating all planned and held spend by channel
  • Weekly Calendar: updates timing for key deliverables for reporting/planning/billing/budgets
  • Weekly Pacing Document: Helps by pulling weekly client goals through DCM Campaign Manager platform
  • Media Authorization Forms: supervise document updates and ensure delivery to client for signature
  • Monthly Accruals Document: supervise document updates and send back to finance team
  • Master Project Tracker: assists in adjusting resources and project next steps in tracker with Senior Associate Project Manager
  • Monthly Reporting: Design report template for alignment on format, timeline, deliverables, etc.
  • Takes meeting notes on an ongoing basis and collects status from team members
  • Assists in the management of project activities / updates project statuses in the project tracker
  • Immerses themselves in the client to understand the project and context
  • Manages the execution of low/er complexity projects (with focus on budget related projects)
  • Builds trust and credibility through consistent delivery
  • Contributes to client-facing reporting/performance recaps as directed
  • Assists team in the preparation of exhibits and summaries for client-facing reporting/ performance recaps (in coordination with investment)
  • Supports Senior Associate in monitoring campaign spend with investment teams and alerts manager if campaigns are over/under-pacing vs. allotted budgets
  • Creates media authorization forms
  • Ensures that media spend is reconciled with vendor and client invoicing
  • Request invoices from partners
  • Code invoices and upload into Prisma
  • Reconciling them in Prisma
  • Weekly to daily review of ASR pulls to determine what invoices need to be cleared
  • Reviews client invoices and vendor payments for accuracy
  • Sends draft billing packet to channel teams to review/align prior to client issuance
  • Manages and plans for internal meetings and deliverables
  • Demonstrates straightforward project planning knowledge required for media tasks
  • Manages the execution of tasks through to completion
  • Supports the team by managing daily account needs from task/project management and meeting logistics to distribution of account-related documentation
  • Executes assigned projects

About You

  • Bachelor’s Degree
  • Previous internship experience in media, advertising, or accounting
  • 1+ year of advertising/professional service experience preferred
  • Strong analytical and Excel skills
  • Obsessed with attention to detail
  • Demonstrated problem solving skills
  • Ability to work successfully with teams, handling multiple projects and meeting deadlines

Salary

$60,000 - $60,000/year
