Finance Assistant

About the Opportunity

  • Maintain and coordinate full cycle of accounts payable, accounts receivable
  • Ensure account coding and documentation submitted is accurate and complete before processing payments
  • Verify and process all accounts payable invoices and cheque requests for payment and issue cheques semi-monthly
  • Vendor maintenance including reconciling vendor statements and monitor accounts to ensure payments are up to date. Respond to inquiries from vendors and staff regarding status of payments pending timely
  • Reconciliation of cash and cheque deposits, banking and performing bank reconciliation
  • Assist the Finance manager in general accounting duties including but not limited to general ledger reconciliations, assist payroll, staff pension and other financial report preparation and prepare journal entries and some bookkeeping
  • Assist the staff with accounts reconciliations, VISA payment processing, petty cash and other accounting tasks
  • Maintain, update and retrieve the financial information from the current accounting software (Great Plains)
  • Perform accounting computations and calculations accurately, and identifying discrepancies and errors and endeavoring to resolve them
  • Assist Finance manager in the annual financial audit cycle
  • Manage and maintain effective inventory system
  • Provide support in preparing the monthly/quarterly financial reports in the accounting and finance system as per established procedures
  • Photocopying, minute taking, memo/documentation creation, committee support and maintain an effective filing system
  • Liaise with the appropriate parties on office general maintenance, order supplies, stationary and office equipment as directed
  • Assist in coordinating arrangements for events, travel, meetings and training sessions, distributing supporting documents when necessary and as directed
  • Collaborate with the Administrative team to ensure smooth operations particularly during peak periods
  • Perform other duties as assigned

About You

  • Post-secondary diploma or a degree in Business Administration or Finance with three to five years of accounting and some bookkeeping experience preferably in a not-for-profit or healthcare environment
  • Good Knowledge of MS Office applications i.e. Excel (Especially),Word, PowerPoint and Outlook
  • Strong planning and organizational skills and the ability to multi-task with confidence in a fast paced environment
  • Excellent skills in attention to detail, multi-tasking, prioritizing, problem solving and strong communication and organizational skills are essential
  •  Ability to take initiative and work effectively in a busy and changing team environment
  • Excellent interpersonal skills
  • Proficient in a computerised accounting system. Experience in the Microsoft Dynamics (GP)  an asset
  • Knowledge of women’s health issues is an asset
  • Bilingual/Multilingual is an asset
