About The Opportunity 

  • Proactively managing calendars to scheduling meetings, responding to scheduling requests from internal and external stakeholders in a timely manner and adjusting calendars based on shifting priorities 
  • Proactively triaging incoming email and other forms of internal/external correspondence to follow up on non-complex requests and prioritize items to be actioned by the executive 
  • Attending key meetings, taking and distributing minutes and following-up on action items 
  • Liaising with the Finance department to monitoring the IT and HR department budgets and tracking and reporting on key discretionary expenditures, e.g. travel, vendors, consultants 
  • Drafting key documents for internal and external audiences, e.g. business plans and progress updates, townhall meetings, conference presentations, spend analysis, change management communications, memos, letters, etc. 
  • Supporting the executive to lead key annual business cycles (e.g. budgeting, business planning, compensation planning) and key department projects (e.g. IT rollouts, HR projects) by developing project plans and timelines, scheduling key meetings, organizing key documents, and providing the executive with timely updates on work in progress 
  • Participating in open, professional and timely communications and collaborative working relationships with colleagues across the firm 
  • Liaising with vendors to coordinate key activities including obtaining quotes, managing a contract repository (e.g. hardware/software licenses, recruiting vendor agreements), coordinating renewals and reviews 
  • Administering executive expenses, travel arrangements, organize and maintain physical and electronic filing systems 

About You  

  • 5+ years’ experience in an administrative support role reporting to c-suite executive(s) , preferably in a professional services environment 
  • Experience collaborating effectively with colleagues at all levels in the organization, and external stakeholders such as vendors, job candidates, community members 
  • Ability to effectively manage multiple accountabilities and day-to-day priorities with high-level direction and minimal supervision, within a busy, dynamic environment using highly-developed organizational and time management skills 
  • Strong Knowledge and capability in the Microsoft product suite (Word, Excel, Outlook, PowerPoint, Teams) and a track record of learning and leveraging new technologies 
  • Basic project management skills will be an asset
