About the Opportunity

Support the President & CEO

  • Organize and prioritize complex calendar management of the President & CEO
  • Organize group meetings of the Senior Leadership Team (SLT) and corporate partner meetings where CEO, Board Members is required
  • Establish and maintain effective partnerships with internal and external stakeholders
  • Schedule meetings
  • Track and manage the CEOs expenses
  • Support and track CEO deliverables from the direct reports
  • Support scheduling and deliverables relating to the CEO’s project consultants
  • Always flexible to work outside of regular business hours to meet stakeholder needs as necessary

Support Governance Relating to the Board of Directors and Executive Committees

  • Maintain up-to-date contact lists and ensure distribution to key stakeholders
  • Schedule and support meetings of the Board of Directors and Executive Committees Committees
  • Maintain effective relationships other Executive Assistants at Member Foundations to enhance efficiency and effectiveness
  • Support preparation of meeting packages, record and produce high-quality minutes and deploy and track action items
  • Manage, track sign-off process and secure filing for the Board of Directors and Committee minutes

Select Office Administration

  • Manage incoming and outgoing mail for the office
  • Maintain up-to-date Organizational Chart
  • Support set up of key organizational tools such as vacation calendar and access to SharePoint folders
  • Support onboarding of new employees relating to scheduling of key meetings
  • Manage office supplies and some general office equipment
  • Order kitchen supplies on behalf of the staff

About You

  • College diploma or combined administrative equivalent
  • Minimum 5 years of experience in providing senior-level administrative support
  • Experience with board member governance
  • Ability to anticipate needs and prioritize competing priorities efficiently


$60,000 - $70,000/year
