Executive Assistant - 12 Month Contract (Closed)

About the Opportunity

  • Manage the day-to-day administrative operations of the office
  • Plan and schedule meetings and appointments for executives
  • Work closely with senior staff to provide administrative support
  • Schedule and organize staff meetings and activities
  • Manage meeting rooms, including set-up and refreshments
  • Perform general office duties, such as ordering supplies, maintaining records, managing database systems and supporting the bookkeeper with expense documents
  • Open, sort and distribute incoming correspondence, including faxes and office mail/email
  • Provide a bridge for smooth communication between the executives and employees
  • Set up travel schedules for executive team
  • Establish and calculate employee expense reports

About You

  • Minimum 5 years assisting executives in a medium-sized business environment
  • Ensure confidentiality, integrity, professionalism and tact at all times
  • Demonstrate a willingness to be flexible, versatile and tolerant in a changing work environment while maintaining effectiveness and efficiency
  • Ability to communicate effectively: speak, listen and write in a clear, thorough and timely manner using appropriate and effective communication tools and techniques
  • Ability to think independently and complete tasks with limited direct supervision
  • Professional and mature communication style and the ability to interact with team at all levels
  • Proficient with Microsoft Office (Word, Excel, PowerPoint and Outlook)
