About the Opportunity  

  • Position is responsible for the accuracy of the material produced, effective calendar management and the accurate completion of critical tasks assigned by senior management, often on tight deadlines.   
  • Develops and maintains effective communication networks and working relationships internally, as well as with key external stakeholders, to facilitate the exchange of information.  
  • Drafting routine correspondence; preparing reports and presentations, tracking and controlling working documents; and providing specialist word processing including preparation of material using PowerPoint and Excel.  
  • Position manages the travel requirements by conducting research, arranging for accommodations & transportation, while maintaining files and tracking expenses.   
  • Act as an intermediary to ensure that information and materials are coordinated and circulated to the appropriate parties.   
  • Provide vacation/absence support across Admin Support Team, including reception relief if/when required.  
  • Position is guided by standardized practices and/or general work instructions and procedures.   
  • Assist Function leaders in organization of seminars.  
  • Errors in judgement could have an impact on Client’s reputation and credibility and reflect poorly on the executive management team. 

About You 

  • Intermediate level administrative support experience (5+ years)  
  • Post-secondary education in a related discipline  
  • Advanced skills with Microsoft Office products, specifically MS Outlook, MS Word, MS Excel and MS PowerPoint   
  • Proven ability to multi-task in a professional, high pressure financial services environment, supporting several senior level executives simultaneously.   
  • Excellent verbal and written skills are necessary.   
  • Strong time management skills and ability to transcribe from handwritten copy, letters, memoranda, reports or other documents; proofreading skill to check documents for grammatical structure, spelling, punctuation and format; ability to maintain the filing system; organizational skill.   
  • Ability to understand the Travel and Hospitality policy and the Procurement Guidelines and using sound judgement skills in the application of these Policies and Guidelines.   
  • Act as an intermediary to ensure that information and materials are coordinated and circulated.   
  • Knowledge of Client’s vision, mandate and general knowledge of Client.   
  • Good judgment and analytical skills are required to fully understand, respond appropriately to inquiries and complete assigned duties independently.   
  • Ability to demonstrate high level of integrity, diplomacy, professionalism, confidentiality and dynamic interpersonal skills.   
  • Ability to prioritize competing demands, and clearly and timely communicate consequences of prioritization to stakeholders.   
  • Judgement is required in implementing the decision-making model, researching topics and recognizing sensitive and confidential issues and escalating them as necessary.

Pay Rate 

Up to $40/hour
