The Service Administrator’s role involves providing administrative support to the Service Department.

About the Opportunity   

  • Process materials upload in system 
  • Process work orders for leak calls from client, via phone and emails in system for Service, Production and Waterproofing accurately and efficiently 
  • Create all work orders in Jonas (Dispatcher portal) – Service, Production and Waterproofing 
  • Process service reports (Findings) for Clients (Portal) using Barg 
  • Payroll duties (balancing all hours for each service technician) to be submitted to Payroll Department for weekly payment, transfer hours) 
  • Edit existing work order prior to reporting (spell check, ensure manual entries for materials is completed and additional charges i.e., equipment charges etc.) 
  • Setting up new accounts once it is credit checked and approved by Finance (credit check forms) 
  • Review daily service leak reports with findings and record on our work orders in Jonas and report to customer accompanying photos - invoicing. 
  • Follow up with Manager, Site Supervisors, Estimators and Roofers for any issues with work that was performed at site. 
  • Sort and file all completed invoices according to work order numbers. Box older or completed work orders/quoted work to be placed in storage for auditing purposes 
  • Follow up with Manager, Estimator for any quote requests for permanent work from the Clients. 
  • Follow up on customer’s general inquiries for service  
  • Assist in checking outstanding service orders that have been costed but not billed 
  • Other administration duties as required. 

About You   

  • Previous administration work within an office setting Experience using Microsoft (Office, Outlook, Internet), ERP System and Adobe applications. 
  • Well versed in managing a multiple line VOIP phone system as well as handling multiple incoming calls and waiting lines. 
  • Attention to detail when inputting information – addresses and description. 

Pay Rate 

$23 - $24/hour
