About The Opportunity  

  • Administration support for the VP, Finance and Business Admin and other Directors as required, including; correspondence, messages, expense reports, coordinate travel arrangements, registration for events/conferences/trade shows; arrange and book meetings, appointments, and off site meetings 
  • Work closely with the Business Development team to pull together proposals in response to RFP’s 
  • Develop and maintain an electronic filing system for the VP, Finance and Business Admin as well as for the other Sr. Management members as required 
  • Manage all phones (both office and cellular) for the company to ensure the phones are there when requested, that we have the correct plan for each individual and that costs are minimized. Includes arranging upgrades and repairs 
  • Review and process specific invoices and expense reports for VP and Directors 
  • Manage company security cards, both full time and temporary. Liaise with Rogers Centre security 
  • Assist the Executive Assistant with responsibilities including organizing client events. Act as vacation/sickness relief for Executive Assistant 
  • Generate annual vacation accrual support and issue new year vacation entitlements to managers for their staff. Manage all vacation information in our in house software and keep SAP up to date 
  • Compile and distribute monthly financial reports to the management team 

About You  

  • College diploma or related relevant experience 
  • Minimum 5 years of business experience is preferred 
  • Excellent computer skills, especially MS Office (above average Word, Excel, Outlook and PowerPoint skills are mandatory) and Adobe 
  • Strong organizational skills with high attention to detail 
  • Excellent ability to prioritize, manage and complete tasks effectively 
  • Proactive with the ability to identify and reach amicable solutions using sound judgment 
  • Strong people interaction skills 
  • Self-starter with the ability to work under pressure with minimal supervision and react quickly and efficiently to last minute changes 
  • Excellent communication skills, written and verbal 
  • Ability to be flexible and adaptable 

Pay Rate  

$50,000 - $59,000/year
