About the Opportunity
Responsible for preparing and organizing all administrative duties for both managing partners of the firm. Duties include:
- Assist the partners in managing their calendars, client and management commitments, travel and/or meeting arrangements (planning itineraries, meeting material, reporting expenses, etc.)
- Manage telephone, email and in-person inquiries from clients, business partners and other parties in a timely manner
- Prepare expense reports ensuring accuracy and adherence to Finance policies
- Draft/ edit any correspondence as required
- Provide other daily support to the executive team as needed
- Organize company and office events, as well as assist with other industry and community events the company may participate in
- Administer and manage inbound/outbound mail, including packages/ courier services
- Creating templates, letterheads, and business cards for partner leading up the conferences or projects
- Conference preparation and follow-up
- Assist with paperwork and ad hoc projects
- Perform other duties that may be assigned as necessary
- Interacting daily with internal and external C-suite executives as well as investors
- Handling information of a highly confidential and critical nature
- Manage and maintain control of executive team calendars by coordinating and scheduling appointments and meetings, reserving facilities, obtaining, distributing, and/or assembling supporting material
- Coordinating complex, international and domestic personal and business travel arrangements and prepare itineraries
- Organizing and expediting the flow of work through the executive office and initiate follow up action as required
- Compile, research and execute on upcoming events, meetings and other projects as requested
- Other duties as assigned
About You
- 2+ years of experience and successful demonstration of responsibilities as presented above
- Strong organizational and time management skills; able to multitask and meet time sensitive deadlines
- Self-starter attitude
- Open and adaptable to providing all types of support to the office and work as a team member
- Attention to detail and problem-solving skills
- Proficiency in MS Office (Excel, Word, Outlook and PowerPoint) in particular
- Excellent written and verbal communication skills
- Diploma or Bachelor’s degree in Business Administration, Office Administration or related field
Pay Rate
$19 - $22/hour
