Administrative Assistant - 1 Month Contract (Closed)

About the Opportunity

Responsible for preparing and organizing all administrative duties for both managing partners of the firm. Duties include:

  • Assist the partners in managing their calendars, client and management commitments, travel and/or meeting arrangements (planning itineraries, meeting material, reporting expenses, etc.)
  • Manage telephone, email and in-person inquiries from clients, business partners and other parties in a timely manner
  • Prepare expense reports ensuring accuracy and adherence to Finance policies
  • Draft/ edit any correspondence as required
  • Provide other daily support to the executive team as needed
  • Organize company and office events, as well as assist with other industry and community events the company may participate in
  • Administer and manage inbound/outbound mail, including packages/ courier services
  • Creating templates, letterheads, and business cards for partner leading up the conferences or projects
  • Conference preparation and follow-up
  • Assist with paperwork and ad hoc projects
  • Perform other duties that may be assigned as necessary
  • Interacting daily with internal and external C-suite executives as well as investors
  • Handling information of a highly confidential and critical nature
  • Manage and maintain control of executive team calendars by coordinating and scheduling appointments and meetings, reserving facilities, obtaining, distributing, and/or assembling supporting material
  • Coordinating complex, international and domestic personal and business travel arrangements and prepare itineraries
  • Organizing and expediting the flow of work through the executive office and initiate follow up action as required
  • Compile, research and execute on upcoming events, meetings and other projects as requested
  • Other duties as assigned

About You

  • 2+ years of experience and successful demonstration of responsibilities as presented above
  • Strong organizational and time management skills; able to multitask and meet time sensitive deadlines
  • Self-starter attitude
  • Open and adaptable to providing all types of support to the office and work as a team member
  • Attention to detail and problem-solving skills
  • Proficiency in MS Office (Excel, Word, Outlook and PowerPoint) in particular
  • Excellent written and verbal communication skills
  • Diploma or Bachelor’s degree in Business Administration, Office Administration or related field

Pay Rate

$19 - $22/hour
