About the Opportunity 

  • Provide day-to-day direct administrative support to the Leasing Manager and the Property Manager, with indirect support to the Controller (on an “as needed” basis) 
  • Provide monthly receivable report to Senior Vice President and direct reports 
  • Process receivables including collection and accurate, timely deposits 
  • Verification of notice of electronic transfers and posting of same 
  • Completing applications provided by tenants to set up electronic transfer payments 
  • Verify and produce invoices based on information provided by various departments 
  • Calculate all percent rent, process invoices when applicable and reconcile at year-end 
  • Calculate annual CPI escalations as specified in the lease 
  • Identify and prepare necessary receivable adjustments monthly and post to appropriate general ledger accounts 
  • Analysis of monthly receivable trial balance to identify arrears and, after initial collection efforts, liaison with Property Manager, for resolution 
  • Written and telephone communication with, tenants as necessary. 
  • Periodic office meetings with tenants to address their problems and concerns 
  • Verify, calculate and produce refund payments to tenants as necessary 
  • Respond to auditors questions and provide documents as requested 
  • Preparation of all commercial and retail leases and all other ancillary documentation, including any general correspondence for the portfolio, with minimal direction. 
  • Preparation of tenant files and tenant rent summaries. 
  • Update vacancy listings, as required, and assemble and distribute broker marketing packages, including space plans of vacant spaces, as well as fielding broker/tenant enquiries. 
  • Assemble and update various related reports. 
  • Complete municipal rental roll data requests and vacancy credit for property tax purposes (MPAC) 
  • Back up for reception duties 
  • Other duties as assigned 

About You 

  • Minimum 2-5 years’ experience of Accounting, Leasing and Property Management in a retail and commercial setting, including experience in project managements and interpreting commercial and retail leases and ancillary documentation 
  • A proven ability to build relationships externally and at all levels of an organization, including interaction with tenants, brokers, contractors and auditors  
  • Working Knowledge of Yardi 
  • Proficient in Microsoft Word and Excel.  Some IT, office administration and accounting knowledge is beneficial 
  • Well demonstrated in written, verbal report writing, presentations, and meeting facilitation.  Excellent attention to detail and accuracy
